Forwarder Pickup Advice (FPA)
When is a transport notification (Forwarder Pickup Advice / FPA) due?
The due date for creation of Forwarder Pickup Advice (FPA) is defined by the customer. Usually Cut-off time for European land freight is 11:00 am (Central European Time) one day prior to the pickup day. You can find the respective deadline of transport notification for each material and each delivery date in the list of due deliveries schedules in column Due Date for Forwarder Pickup Advice Creation.
Why are due deliveries not shown?
There are several potential reasons why due deliveries are not shown:
- There are no demands for you in SupplyOn Supply Chain Collaboration (SCC).
Check in the demand area, for example, if you have Purchase Order or delivery instructions.
- There are Purchase Orders in SupplyOn Supply Chain Collaboration (SCC), but they are not confirmed yet, although the customer requests a confirmation.
Check and confirm the orders.
- There are open demands in SupplyOn Supply Chain Collaboration (SCC), but they are not visible due to filter settings.
After you click on Create FPA, you will reach to the page of Due Deliveries. On the top left side, a filter is set by default, that open demands with pickup dates in the next 30 days will be shown. This filter can be customized or deleted. If you want to see all open demands unfiltered, please click on Delete Lines to remove this filter. Then click on Search.
- Demands are no longer shown due to the initial cumulative quantity being too high. Correct maintenance of the cumulative quantities (accumulated quantities) is essential for the correct display of due deliveries based on delivery instructions. Supplier's cumulative quantity indicates the quantity that you as a supplier have already delivered/shipped. This quantity should therefore be received by the customer or still be in transit. Delivery schedules with a planned cumulative receipt quantity that is smaller than the supplier's cumulative quantity are not shown as due, since they (supposedly) have already been delivered.
Please check the supplier cumulative quantity and correct it if necessary.
Further details can be found in the section User Manuals and Training Documents.
- Your user does not have the required roles / rights to create Forwarder Pickup Advice (FPA) and/or Advanced Shipping Notification (ASN).
Further details can be found in the areas of System Access and User Administration as well as User Manuals and Training Documents.
Due deliveries in SupplyOn do not represent what actually has to be shipped
When attempting to create a FPA, very old due deliveries are shown -ut they have already been sent and delivered. In this case, the initial cumulative quantity is probably not correctly maintained.
Please check and correct the initial cumulative quantity.
A brief instruction can be found here.
Why are Due Delivery lines for already delivered goods shown?
If initial cumulative quantity in the delivery instruction is not correctly maintained, open demands may be shown again. Specifically when the customer sends an updated delivery instruction before the notified goods have been received and removed from the delivery instruction.
Please check and correct the initial cumulative quantity.
A brief instruction can be found here.
Why is combining of multiple Due Deliveries not possible?
The due deliveries can only be combined in case of same transport mode, incoterm, customer plant and currency, as well as pick-up and delivery dates.
What to do when the Ship-from-Address does not match actual pickup location?
The pickup address specified by the customer is pre-filled by default. If the customer did not provide a pick-up address with material demands message, the address from supplier master data in SupplyOn will be used. SupplyOn supplier administrators can create additional so called "Control Points". The addresses can be selected while creating Forwarder Pickup Advice (FPA) and Advanced Shipping Notification (ASN).
You can find more details on creating additional pickup addresses in the area User Manuals and Training Documents.
Is it possible to delete a Forwarder Pickup Advice (FPA)?
A Forwarder Pickup Advice (FPA) that has been saved but not yet sent can be deleted. A Forwarder Pickup Advice (FPA) that has already been sent can be canceled (but not deleted), as long as no carrier has been commissioned and no Advanced Shipping Notification (ASN) has been sent. In case a carrier has been commissioned or an ASN has been sent, deletion of FPA is no longer possible - please contact the TMC.
How can a delivery be split into partial deliveries?
You have the option of adjusting delivery quantities in Forwarder Pickup Advice (FPA) and Advanced Shipping Notification (ASN).
Further details can be found in the area User Manuals and Training Documents.
Can units of measurement be changed?
No, it is not possible to change the units of measurement (e.g. from centimeters to meters). Customer defined standard is used.
How can I search for all existing Forwarder Pickup Advice (FPA) numbers for one material/demand?
Go to the tab Forwarder Pickup Advice - Positions (FPA Positions) in Forwarder Pickup Advice Overview and search for the respective demand or material on the top left side.
How can I provide an attachment (document) after sending Forwarder Pickup Advice?
Go to " Forwarder Pickup Advice", open the FPA by clicking on the FPA number, add the attachments in "Manage Attachments" and click on "Save Documents". Finally, click on “Send” to send the document to the transport management system.
How can I check which carrier has been contracted for the pickup?
As soon as a carrier has been selected by the transport management system, this will be shown in the FPA overview and on the page of Complete Forwarder Pickup Advice.
Further details can be found in the area User Manuals and Training Documents.
Which labels and documents can / must I print from the Forwarder Pickup Advice (FPA)?
All labels and documents printed in the past can and must continue to be printed.
In addition, now it is possible to print transport labels from SupplyOn. Please note that the transport labels are only generated in the system and available to you after the Forwarder Pickup Advice (FPA) has been sent. This can take a few minutes.
Open your Forwarder Pickup Advice (FPA) which has been sent and click on Transport-/CEP-Label on the lower right side. A PDF file will open, please print this file. The transport labels should be then attached to the so called handling units (e.g. pallets).
Furthermore, please print out the Transport Data Sheet and attach it to one of the handling units. The Transport Data Sheet is also available on the lower right side in Forwarder Pickup Advice (FPA).
Advanced Shipping Notification (ASN)
Why is it not possible to create an Advanced Shipping Notification (ASN).?
A Forwarder Pickup Advice (FPA) is usually required before Advanced Shipping Notification (ASN) can be created. Create a Forwarder Pickup Advice (FPA) for each due delivery. In special cases (e.g. ad hoc shipment at you own expense) you can create an ASN with the Bypass-Option (Transport Management Bypass).
Further details can be found in the area User Manuals and Training Documents.
When is the Advanced Shipping Notification (ASN) creation due?
The Advanced Shipping Notification (ASN) must be created after Forwarder Pickup Advice (FPA). Ideally, the Advanced Shipping Notification (ASN) is sent when the goods have just been loaded and in transit.
Can I create Advanced Shipping Notification (ASN) for a Forwarder Pickup Advice (FPA) with an error message?
No, the Advanced Shipping Notification (ASN) can only be created after the Forwarder Pickup Advice (FPA) has been sent successfully.
