What steps are required?

1. Invoice content check: Your PDF invoice layout might have to be modified in content, so that all content required by the customer is included in the PDF file. It is possible that the support of your IT department may be required for this.
2. Order the PDF data extraction and mapping - initial in the SupplyOn   Shop Digital Transformation Services.
3. Send at least 5 representative invoice examples and the filled-out PDF Invoice Mapping Guide (please find the customer-specific link above) to  invoice.layout-request@supplyon.com. We'll contact you in case of further questions.
4. We inform you about the activation of the PDF data extraction. This may take 5 to 10 working days.

What are the requirements for the PDF files? 

Please send us the following to  invoice.layout-request@supplyon.com:

• The filled-out and customer specific PDF Invoice Mapping Guide: 
  • Airbus PDF Invoice Mapping Guide
  • Bosch PDF Invoice Mapping Guide
• At least 5 different PDF invoice examples. Please note that those PDF invoices are not processed productively
• If required, examples of different customers or geographic regions
• Examples for every language used (following languages are currently supported: English, Dutch, French, German, Spanish, Portuguese, Italian, Flemish, Norwegian, Finnish, Danish, Swedish, Czech, Hungarian, Slovakian, Romanian, Polish, Bulgarian, Greek, Russian.)
• Examples for every invoice type
  • Invoices with default sales tax, tax exemption and foreign currency
  • Credit notes
• Invoices for services and materials
• Examples with one and several pages
• Invoices with one and several items

Note: Please do not use invoices that include negotiated prices with your customer as an example, as the secure transfer and storage of sample PDF invoice files is not guaranteed when creating PDF data extraction. In later productive use, SupplyOn's security and operating concept ensures that access is only possible for authorized users.
